A document is the formatted display/layout of a preset. This article explains the two ways to change the preset included in a document.
In turn, a preset is a predefined display for the participants' content. When creating a preset you can choose which columns to display, choose which column to sort by, limit the number of participants listed, filter by column or group participants. For more details, see Creating presets and Creating and printing reports.
There are two ways to modify the preset included within a document:
- Modify the preset and reinsert it into the document (section 1).
- Modify the preset table directly in the document (section 2).
1. Modify the preset and reinsert it
- In Participants, open the presets panel (wrench button on the right-hand bar, List of presets panel), find the preset you want to modify and click Apply.
- Modify the preset in Participants by adding or deleting columns or filters, or by changing the sorting.
- When you have finished, find the preset again in the List of presets and click the save icon (Overwrite) on its row. You can also do it from the preset selector above the table, with the Overwrite button.
- In the pop-up window, confirm that you want to overwrite the preset.
Then open the document for editing. The document keeps a copy of the preset as it was when you inserted it, so it does not change by itself:
- Select the table of the old preset and delete it from the document.
- Insert the modified preset from the designer's participant presets panel (person icon button, List of presets panel).
- Adjust the format to make it look better and save the document.
2. Modify the table in the document
The second option is to modify the preset inside the document. To do this:
- Go to the race document list.
- Find the document you want to modify. If it belongs to another user, you cannot edit it: you first have to clone it. Open the … menu on its row and click Clone; a copy is created under your user, with the same name followed by the date and time.
- In the document's … menu, click Edit (pencil icon).
- You will see the preset inserted into the body of the document, as shown in the image.

- Double-click any column of the preset. The available editing options are displayed. In the example, when double-clicking the "Category" column, the options are displayed in the upper area:
- Add a column to the left of the selected column.
- Add a column to the right of the selected column.
- Delete the selected column.
- If you delete a column, you can continue editing:

- If you add a new column, you can select the data it will contain. You must fill in the header (title) and the column content.
- Add the title of the new column to give it a format:

- In the body of the column it is possible to select different values within the data for a participant, for example: gender, or the time at a timing point.

- You can also use the value selection feature if you want to modify an already created preset without adding any columns. For example, you have a preset in which you show the time of the intermediate point 5K, but in the next race you are going to time, the intermediate point is at km 4. With this option you can select the official time of the 4K instead of the 5K and, of course, change the column title.
3. A few things to consider
- Even if you modify columns in the document, the data follow the preset's filters and grouping. You can change the sorting in the document: select the table and click the sorting button (A→Z icon) on the designer's right-hand bar.
- Note that adding or deleting a column does not modify the preset in Participants.
- The change only applies to the document in which you have added or deleted columns.
Video transcript
The video for this article is only available in the Spanish version; this is a translation of its narration.
Let's see how to edit a document to add information without having to modify the preset. In this case we have a document in which we can't see the surnames. What I'll do is go to the document, edit it, select the point in the preset we have already added where I want to add it, and [add] a column before or after it. After that, I can select the column I have created and tell it which field I want to show; in this case, the surname. I only have to save and now, when I view the document, the surnames will be included.
We can do this with any field of the table. This can also be applied to trophy documents: for example, this trophy document in which I show information and I don't have the club in the race. I can decide not to show the club, adjust the column widths to the new space if necessary, save and now, when I view it, I would have the trophies without the club.
