Importing participant times

You can upload participant times at one or more timing points to Copernico from a CSV or Excel file. This is done with the participant importer in modify mode, and the import is recorded as a time issue (manual time). To load tag readings from a timing device instead, see Sending readings to Copernico.

To prepare the file, keep in mind the following:

  • If it is a CSV file, it is usually comma-delimited; if you use another delimiter, you can set it in the file options when importing.
  • It must include a column that identifies each participant: the unique athlete ID (id), or the event and the bib (two columns, Event and Bib). If you choose the event in the importer (see step 6), the bib column is enough: participants are matched by bib.
  • And one column for each timing point you want to import times for. The values in the time columns must be in seconds and may include milliseconds.
  • You can add as many times as necessary, each in a different column. The following example has a bib column and a single time column, in seconds with milliseconds:
    Bib Swim Exit
    101 1500.25
    102 1532.80
    103 1610.00

To upload the file:

  1. Go to Participants in the race menu.
  2. Click the Participant Time Importer icon (a clock with a person) in the right sidebar. The participant import panel opens: importing times has no window of its own, it uses the same importer. For more information about this importer, see Importing participants.

  3. In Import from file, drag the file or click the box to choose it from your computer.
  4. Choose Modify mode: you are adding or changing times of existing participants. In this mode the Add new participants not found in the system check box appears.
⚠️ Important: the Add new participants not found in the system check box is selected by default. Clear it if you only want to import times: if you leave it selected, rows in the file that do not match any participant are added as new participants.
  5. Check the file options (delimiter, encoding…); if the CSV is comma-delimited, you don't need to change anything. Click the UPLOAD button.

  6. Select the event at the top of the column screen: times are imported into a single event. Until you choose it, the message “You must select an event to import times.” is shown and the Time type does not appear.
ℹ️ Beta only: in the beta version of Copernico (beta.copernico.cloud) the event selector does not appear and the Time type is available without choosing an event. The event of each time is taken from the event column of each row in the file.
  7. Check the column mapping. If you have imported a similar file before, you can pick the mapping in Mapping history. Make sure the identifier column (or the event and bib columns) is assigned to its field, change the type of each time column to Time and choose in Timing point the timing point you are uploading the times for.

  8. Click SAVE: if everything is validated correctly, the message "Operation successful" appears.
  9. On the next screen, click SAVE again.
  10. Finally, the IMPORT N ATHLETES confirmation window appears (N is the number of participants), warning that data will be overwritten ("Athletes in the database will be overwritten. Go ahead?"), with the NO and YES buttons. If you are sure the data is correct, click YES.

When it finishes, the message "Edit applied: N modified, 0 new" appears, Copernico validates the race and shows the Last summary tab with the pre-race check result. Click Close to return to the table.

To check that the data has been updated correctly, go to Participants and check that the participants you uploaded times for have the correct times at the imported timing point and the blue icon that marks a manual time.

The import appears in the Issues panel in the right sidebar as a single issue, with a clock icon, in the form "N participant / All events - <timing point> → <time>".

ℹ️ Note: if you delete that issue from the Issues panel, the time import is undone. For more information, see Managing issues.
