Workflows: Assign a tag

This video shows how to assign a tag with the Workflows plugin.

ℹ️ This video was recorded with an earlier version of Copernico; some screens may look different today.

This article explains how to configure a workflow in Copernico to assign a tag during the race expo or bib collection. This process ensures quick, secure and operator-friendly tag assignment.

1. Introduction

This workflow allows you to assign a tag to a bib and validate the process in a structured way. It is ideal for operators working at the expo without requiring full access to Copernico.

2. Workflow setup

To create a new workflow, click ADD at the top of the screen and configure the following sections.

2.1. PIN configuration

The PIN works as a password for accessing the workflow. You can share the workflow link with operators, and only those with the PIN can use it.

2.2. Query configuration

The query defines how the participant will be searched. In this example, two fields are used:

  • Identification (ID)
  • Registration (entry number)

Each field includes these options:

  • Autofocus: places the cursor automatically in that field.
  • Scannable: enables QR or barcode scanning.

2.3. Displayed information

After the search, the workflow will show the selected participant information:

  • Bib
  • Name
  • Surname
  • Identification

2.4. Action configuration

The action defines which data the workflow will modify. In the Action section, add an action field and select Tag in Field: this is the data the workflow will assign to the participant found.

2.5. Optional confirmation

You may enable a confirmation step to verify data before completing the action. You can include fields such as:

  • Bib
  • Tag
  • Name
  • Surname
  • Identification

A timeout can also be configured so the workflow resets automatically after completion.

3. Workflow usage

The workflow operates in three steps:

  1. Enter or scan the identification or registration number.
  2. Review the participant information.
  3. Assign the tag and confirm (if confirmation is enabled).
ℹ️ Note: with this workflow, you can assign tags quickly and securely during bib collection. Configure the PIN, search fields and main action according to the needs of your event.

Video transcript

We're going to set up a workflow to assign a tag to a bib during the expo. First, click on Add at the top corner, but in this case we're going to show you a workflow that we already set up. Once inside the workflow, under workflow information, you need to set up a PIN. The PIN is like a password, and this allows you to send a link and the password to anybody that you want to access this workflow, and it's protected. Next, the name; in this case, "Assign a tag". Next, we're going to set up our query.

For query fields, we decided to put two different pieces of information: we have identification and also registration. So you'll see later on, when you're using the workflow, that you have the option to search for either of those pieces of information. You have two checkboxes next to each of those. Autofocus simply refers to where your cursor will be placed, and you can select which of the information you want the cursor to be placed in after the search. In this case we don't mind, so it's going to the first field, which is identification. And the next box is scannable, which is if you are searching for something that can be scanned by a QR code or a barcode; so, for example, a registration ID can be scanned.

The next section is Select. So after you search the query, this is the information that'll pop up; it's going to be about the participant in this situation. So we went ahead and configured the bib, the name, surname and identification. Lastly, and very importantly, the action that you want your workflow to accomplish. So in this case we're going to be assigning a tag.

And the last step that you can take, if you want to, is the confirmation. It's not mandatory, but if you want it to be in your workflow, you have to tick the checkbox at the top and then configure the information you want the person to confirm. Here we put bib, tag, name, surname and identification. Also, you'll see skip time in the corner: this is the amount of time that you can configure for the workflow to restart. All right, now you have it set up. You can press save and you can preview your workflow.

So you can see you have the option to search for identification or registration. Go ahead and enter the number. Here pops up the information that you searched for, and you can assign the tag. Press continue and it's confirmed, but you have to confirm it yourself, and the action's done.
