Workflows: Delivered bibs

In this video we show you how to make a bib delivery with the Workflows plugin.

 

 

This article explains how to configure a workflow in Copérnico to verify and mark the delivery of bibs to participants during an expo or race‑pack collection event.

 

Note: This workflow can also be adapted for any other participant validation process, not just bib delivery. For example:
- T-shirt delivery
- Product delivery
- Validation of backpack collection at the baggage room.
- Validation of chip verification
- Any other type of validation/delivery.

 

 

1. Initial workflow setup

To create a workflow intended to record bib delivery:

  1. Enter your Operator PIN, which acts as the access key provided by the organizer.
  2. Assign a workflow name, for example: Bibs delivered.

 

2. Query configuration

The workflow needs to search for a specific participant record. In this scenario, the search is performed using the Identification (ID) field.

Steps:

  1. Select Identification as the query field.
  2. Configure the field's behavior using the available options.
     

2.1 Autofocus and Scannable options

  • Enable Autofocus to automatically place the cursor inside the field.
  • Leave Scannable disabled, since ID numbers are not barcode or QR‑based.

     

Note: For manual participant identification (non-scannable ID), do not enable the Scannable option.

 

3. Information displayed after the query

After the search, display the fields needed to confirm the participant’s information. Recommended fields:

  • Bib number
  • First name
  • Last name
  • Identification number
  • Bib delivery status (delivered / not delivered)


4. Delivery action configuration

Configure the action so that when pressing Continue, the bib status changes from Not delivered to Delivered.


5. Executing the workflow

  1. Enter the participant’s identification number.
  2. Verify the displayed information.
  3. Confirm that the initial status is Not delivered.
  4. Press Continue to update the status to Delivered.


4. Next steps

  • Create additional workflows for equipment return or material pickup.
  • Configure filters to audit delivered bibs.
  • Manage operator permissions for secure handling.
