In this video we show you how to make a bib delivery with the Workflows plugin.
This article explains how to configure a workflow in Copernico to verify and mark the delivery of bibs to participants during an expo or race-pack collection event.
ℹ️ Note: this workflow can also be adapted for any other participant validation process, not just bib delivery. For example:
- T-shirt delivery.
- Product delivery.
- Validation of backpack collection at the baggage room.
- Validation of tag verification.
- Any other type of validation or delivery.
Contents
1. Initial workflow setup
To create a workflow intended to record bib delivery:
- In Pin, enter the PIN for this workflow: it is the code operators will use to access it (each workflow has its own).
- In Name, assign a workflow name, for example: Bibs delivered.
2. Query configuration
The workflow needs to search for a specific participant record. In this scenario, the search is performed using the Identification (ID) field.
Steps:
- Select Identification as the query field.
- Configure the field's behavior using the available options.
2.1 Autofocus and Scannable options
- Enable Autofocus to automatically place the cursor inside the field.
- Leave Scannable disabled, since ID numbers are not barcode or QR-based.
3. Information displayed after the query
After the search, display the fields needed to confirm the participant's information. Recommended fields:
- Bib number
- First name
- Last name
- Identification number
- Bib delivery status (Delivered / Not delivered)
4. Delivery action configuration
Configure the action so that when pressing Continue, the bib status changes from Not delivered to Delivered.
5. Executing the workflow
- Enter the participant's identification number.
- Copernico displays the associated record.
- Verify the displayed information.
- Confirm that the initial status is Not delivered.
- Press Continue to update the status to Delivered.
6. Next steps
- Create additional workflows for equipment return or material pickup.
- Configure filters to audit delivered bibs.

We're going to set up a workflow to check that bibs have been delivered to participants during the expo. Normally you would select Add at the top, but in this case we're going to show you one that we've already configured. First, at the top, you're going to put in your PIN number, which is like a password that we send you, and you're also going to set up the name of this workflow; in this case it would be "delivered bib" or "bib delivered". Next, we're going to search our query. Since we're searching for a registration, there are different ways to do so. In this one, we're going to search by identification number, so the field that we want Copernico to search is identification.
Next to your query fields there are two boxes: autofocus and scannable. Autofocus, when selected, means that during the search, after it's been searched, the cursor will pop up in that field. Scannable is when you're searching for something that can be scanned by a QR code or a barcode. So in this situation we would not select scannable, because the identification number or identification card is not scannable.
Okay, the next section is the information that will pop up once you have searched your query. So we might want to see the participant's bib number, name, surname, identification number and also the status of their bib, whether it's been delivered or not. And finally, the last part is the action of your workflow. So when we complete this workflow, we want the status to go from not delivered to saying yes, it's been delivered, which is what we've configured in the boxes below. You can press save and then you can actually preview your workflow.
So here we add the identification number. You see that one participant has been found in the query, and you can see at the moment it says that the bib was not delivered, but then we press continue and it will be changed to delivered.
